Wellness Practice
We mapped 22 steps across 4 core processes. Biggest impact: client administration and post-session distribution eat ~11-15 hours per week that could go to actual practice work.
A diagnostic view of how Wellness Practice operates — step by step, process by process. This document maps where your team's time actually goes, where friction builds up, and where the highest-impact improvements are hiding.
During a discovery session, we walked through your day-to-day operations and asked diagnostic questions across multiple business areas. Here is what we covered.
Walk me through what happens when a new client wants to book a session.
"They find me on Instagram or through word of mouth and send a message on WhatsApp or email. I check my Google Calendar, suggest 2-3 times, they pick one, I add it manually. If they reschedule -- which happens a lot -- we do the whole dance again."
How do you prepare for each session?
"I open my notes from last time -- those are in Google Drive, one document per client. Sometimes I can't find the right file because I named it differently. Then I review any messages they sent me between sessions, which are in WhatsApp or email. I usually spend 10-15 minutes per client just getting oriented."
We mapped 4 processes across 22 steps. Here is your business laid out — starting with the work that matters most.
Conduct session.
Protected. Never automated. Every process on this page was analyzed with one question: does it support or distract from this?
This friction map captures what one discovery session revealed. The frictions are real, the time costs are measured, and the improvement opportunities are specific. Here is where you can go from here.
Information Fragmentation
These frictions connect to a deeper pattern: client data lives in 5 different places, and you are the only integration between them. The Blueprint maps that fragmentation as a system -- where data originates, where it's duplicated, and where it gets lost. Then it designs a single source of truth for each client relationship.
The frictions mapped above share a root cause. A full diagnostic traces how this pattern shows up across your entire operation — not just the processes we covered in one session.
This much from one session. Imagine what a full diagnostic reveals.
The map showed you WHERE. Implementation shows HOW. Based on what we found, here is what a redesign engagement looks like:
